Financial Impact:

The funds for the transfer are from unanticipated revenue to be received in account 2078-450740, Other Government Agencies.

 

Background Information:

The Division’s existing computers have reached the end of their usable life and are barely capable of supporting essential functions. The computers are still running on Windows 10, which has reached its end-of-support, and do not contain processors compatible with Windows 11. To maintain continuity of services, the Division needed to replace the computers in a timely manner.

 

Due to the current economy, ongoing tariffs, and a global demand for components, the vendor’s quote for the new computers was only valid for two weeks. This did not allow enough time to bring a budget adjustment request to the Board before the purchase deadline. To secure the quoted pricing, the Division moved budget from its Professional Services expense account (2078-53230) to its Internal Assets expense account (2078-53800).

 

The Division is now requesting approval to reinstate the funds into the Professional Services account using unanticipated revenue to be received in Other Government Agencies, ensuring the account is restored to its appropriate operating level. In addition to the cost of the computers, the total amount being transferred includes $1,980 in labor for configuring and replacing the new computers.
